RECEPTIONIST / ADMINISTRATIVE SUPPORT – FINANCIAL SERVICES OFFICE
We are seeking a highly organized, professional, and detail-oriented individual to support a fast-paced financial planning and wealth management office.
This is not an entry-level receptionist position. We are looking for someone who can work in a high-performance office environment with professionalism, urgency, accuracy, and strong follow-through. The ideal candidate must have prior experience working in a financial advisory office or similar financial services setting and understand the importance of confidentiality, client service, and attention to detail.
This is a full-time, in-office position. The required schedule is Monday through Friday, 8:30 a.m. to 5 p.m and is non-negotiable. No remote or hybrid work available.
Requirements:
• Minimum 1 year of experience working for a financial advisor, wealth management firm, broker-dealer, insurance agency, or financial services office is required
• Excellent verbal and written communication skills
• Strong attention to detail and organization
• Ability to multitask in a fast-paced environment without constant supervision
• Professional phone presence and strong client service skills
• Proficiency with Microsoft Office, CRM systems, internet usage, and general office administration
• Dependable, punctual, and able to handle pressure professionally
• Strong follow-through, accountability, and ability to take ownership of assigned tasks
Responsibilities:
• Support advisors with client scheduling, confirmations, and follow-up
• Organize and manage client documentation and office workflows
• Handle high-volume phone calls, emails, and client communications with professionalism and accuracy
• Assist with seminar and client event coordination
• Provide administrative and operational support to advisors and office staff
• Maintain a polished, professional, and organized office environment
• Assist with general office duties as needed
