Job Summary
We are seeking a highly organized and proactive Field Ops Coordinator to join our team. The ideal candidate will be responsible for managing field operations, coordinating schedules, and providing exceptional administrative support to ensure smooth daily activities. This role requires excellent communication skills, strong organizational abilities, and proficiency with office management tools. The position offers an opportunity to work in a dynamic environment where attention to detail and customer service are paramount.
Duties
Coordinate and oversee field operations, ensuring timely execution of tasks and projects
Manage calendar scheduling and appointment setting for field teams
Handle multi-line phone systems, screen calls, and provide professional phone etiquette
Maintain accurate data entry, filing, and documentation using Microsoft Office, Google Workspace, and other office software
Support office management tasks including bookkeeping, invoicing via QuickBooks, and basic bookkeeping duties
Assist with front desk responsibilities such as greeting visitors and managing office supplies
Provide customer support through effective communication and problem resolution
Proofread reports, correspondence, and documents for accuracy and clarity
Support personal assistant duties including calendar management and administrative support as needed
Ensure organizational efficiency through effective time management and prioritization of tasks
Experience
Previous office management or administrative experience preferred
Experience with clerical tasks such as data entry, filing, and document proofreading
Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), and Google Workspace applications
Strong customer service background with excellent phone etiquette skills
Bilingual abilities are a plus but not required
Experience in medical or dental receptionist roles or personal assistant positions is advantageous
Proven organizational skills with the ability to multitask efficiently in a fast-paced environment
Knowledge of office equipment including multi-line phone systems is desirable
Demonstrated ability to manage calendars, support customer support functions, and handle administrative responsibilities effectively
