Schedule: Part-Time (10:00 AM – 2:00 PM, Monday–Friday). These hours are fixed to ensure coverage during our core business operations. As the role transitions to full-time, the schedule will expand to a standard 9:00 AM – 6:00 PM workday. Occasional evening/weekend hours may be required for special events (with advance notice).
Compensation: $25–$30 per hour, depending on experience

THE ROLE
This position is a foundational cornerstone of our team. You will be the primary architect of our client experience and the main point of contact for our families as they navigate the planning process. You will take the lead on implementation and execution for the firm, ensuring that every detail of the client journey is handled with care and professional precision.
Your Key Responsibilities:
• Client Journey Management: Act as the primary liaison for our clients. You will "hold their hands" through the process—answering questions, requesting and following up on necessary legal documents, and ensuring they feel supported from start to finish.
• The "Wow!" Experience: Ensure every prospect and client receives a high-level, personalized experience. You are responsible for ensuring their needs are met without error and on time, every time.
• Systems & Administrative Excellence: Master and manage our CRM systems (databases) to ensure no client detail is missed. You will also manage the firm's calendar, assemble estate planning binders, and handle drafting/mailing with extreme accuracy.
• Marketing & Event Support: As needed, you will support our community outreach by designing flyers in Canva, coordinating logistics for speaking engagements, and managing attendee tracking and follow-up for occasional special events.
FUTURE OPPORTUNITY & GROWTH
This is initially a part-time role designed to ensure a perfect mutual fit. However, for the right person, the intention is for this position to grow into a full-time leadership role (9:00 AM – 6:00 PM). As the firm hits revenue goals, your responsibilities will expand to include assisting in finding, training, and overseeing future team members, with a corresponding increase in salary and title.
ABOUT YOU (NON-NEGOTIABLE REQUIREMENTS)
• Experience: At least 3 years of customer service or client-facing professional experience is required. Experience in a professional services environment (law, finance, insurance, or a high-touch medical practice) is a plus.
• Communication Pro: You must have excellent interpersonal and communication skills, both verbal and written. This position requires proactive communications with clients via phone, email and in person. You are comfortable leading conversations with families, and providing clear, confident guidance regarding their next steps. Candidates who do not desire in-person and phone interactions should not apply.
• The "Follow-Up" Mindset: You are naturally inclined to follow up until a task is complete. You take pride in "clearing the board" and ensuring clients provide the information needed to move their cases forward.
• Fast-Paced & Deadline Driven: You must be able to manage multiple priorities concurrently without losing your cool or your attention to detail.
• Technology Savvy: You must be proficient with the Microsoft Office Suite (Word, Excel, Outlook) and comfortable with CRMs. If a platform is unfamiliar (like Canva), you MUST be the type of person who can figure it out on your own.
